The following services are completed by the doctor, and charged at a rate of $70 per 30 minutes. You will not be charged without your approval:

  • Individual phone calls with your doctor (Note: doctors are available by email free of charge).
  • Family Meetings or Third Party Discussions
  • Forms/Letter Completion

Clinic Policies

Intake with Care Navigator: Before your first appointment, your Care Navigator will collect information by phone to help prepare your doctor. If you prefer, we can also send you the questionnaires by email or through the Patient Portal. This includes background details, medical history, and logistical information. This will help you make the most of your time with the doctor, and does not replace your clinical evaluation.

Your First Appointment: Your First Session will be a comprehensive psychiatric evaluation with a psychiatrist and typically lasts 60 to 90 minutes. Your provider will take an in-depth history, discuss all your questions/concerns, and review next steps. Medication options will be discussed if clinically appropriate. Prescriptions are not guaranteed at the first visit, especially for child or adolescent patients.

Follow-Up Appointments: These focus on ongoing care, and vary in length based on your clinical needs. The frequency of visits are determined collaboratively between you and your provider.

Additional Care: Your provider may recommend additional evaluations, laboratory testing, or coordination with other healthcare providers as part of your treatment plan.

Services for Minors: Ascent Psychiatry provides psychiatric services to children and adolescents. A parent or legal guardian must provide consent for treatment and is responsible for scheduling, communication, and all fees. Appointments may include the child, the parent /guardian, or both, depending on clinical needs as determined by your provider.

Payments

To confirm your appointment, a 50% deposit is required at the time of scheduling. The remaining 50% will be paid during the intake with your Care Navigator. If you’re an established patient, full payment is due at the time the appointment is scheduled.

We accept major credit cards, debit cards, and HSA/FSA cards. All patients are required to keep an active card on file to secure appointments. This card may be used in accordance with the practice’s payment and cancellation policies, including charges for missed appointments or late cancellations.

We require at least 48 business hours notice to reschedule an appointment. Business hours are Monday through Friday, 9 AM to 5 PM EST, excluding holidays. If 48 business hours notice is provided, there will be no fee or charge to reschedule.

If less than 48 business hours notice is given, or if you miss your appointment without notice, payments are non-refundable. For example, if your appointment is scheduled for Monday at 10 AM EST, you must cancel or reschedule by Thursday at 10 AM EST to avoid any charges (weekends and holidays are not counted as business hours).

If you arrive late for an appointment, there is a grace period (10-minute grace for 25 minute appointments, 15-minute grace for 60 minute appointments). Your provider will see you for the remaining portion of your scheduled time, and the full session fee will still apply. After the grace period, the appointment will be considered a no-show, and the fee will be non-refundable.

If you miss the intake appointment with your Care Navigator, you can reschedule for another time. However, if you decide not to continue with care entirely, we cannot refund the 50% deposit you paid when booking.

Although we do not accept insurance directly, Ascent Psychiatry will provide a superbill upon request. This superbill can be submitted to your insurance for reimbursement, per their policy. Patients are responsible for submitting their own claims. Reimbursement is not guaranteed.

Ascent Psychiatry does not provide emergency or crisis services.

If you are experiencing an emergency, including thoughts of self-harm, thoughts of suicide, or thoughts of harming others, please call 911 or 988 (Suicide & Crisis Lifeline), and go to the nearest Emergency Department.

If you receive emergency or hospital care, we are happy to continue your treatment afterward. When possible, please have any relevant hospital or emergency room records forwarded to our office.

Our Physicians and Providers at Ascent Psychiatry are able to prescribe Controlled Medications. Controlled Substances are subject to additional requirements under State and Federal law, and prescription is at the sole clinical discretion of the provider.

If Controlled Substances are prescribed, additional evaluations, laboratory testing, or an in-person examination may be required before a prescription is provided. As a telehealth practice, we may require you to complete an in-person examination.

If you have prior medical records, test results, or pharmacy history, please share these so your provider can review them before or during your visit.

If you are seeking an urgent prescription for a controlled medication, Ascent Psychiatry may not be the right fit. Appointment fees are non-refundable if a medication is not prescribed.

Your personal Care Navigator is your main point of contact for scheduling, care coordination, and any general questions. They can assist with next steps, follow-ups, forms, and help you understand what to expect. You can reach your Care Navigator by phone or email, and they typically respond within the same or the next business day.

You can also contact your doctor by email. They will typically respond to emails within 2-3 business days. For topics that are not best discussed via email, your physician may direct you to book a phone call or follow-up appointment. Those services will be billed at the applicable rate. Please note, our team responds to messages and calls during regular business hours, Monday through Friday, 9 AM to 5 PM EST, excluding holidays. Messages received outside of business hours will be addressed on the next business day. For your safety and privacy, we do not use text messaging or social media for communication.

You may end your care with Ascent Psychiatry at any time. We recommend scheduling a final appointment to discuss your transition plan, review any ongoing medications, and receive referrals if needed. If you authorize, we can also help coordinate the transfer of Medical Records to other providers.

Ascent Psychiatry also reserves the right to discontinue services for any reason, including but not limited to:

  • Missed Appointments: If you miss or cancel 3 appointments within 12 months, we may not be able to continue your care.
  • Non-compliance with Treatment: Repeatedly not following your treatment recommendations or medication instructions
  • Disrespectful Behavior: Verbal abuse, threats, or inappropriate conduct toward staff or providers

If we discontinue services, you will receive written notice, a summary of your care, and referrals to other providers when clinically appropriate.
